Updating Clients - Inactive Account Users

Steps to make updates to HubSpot and SubDNA systems for inactive account users.

Update Hubspot - Steps are listed in order
  1. Create a Note: It is important to create the Note first to make less work for yourself. Once you update the other fields you lose the information you need to link correctly.
    1. Snippets are created with wording to make it easier to create the note. 
      1. When in the note there is a “paper” icon that you can click on to grab the snippet.
      2. Snippet 1) Note no longer a user - #Note no longer a user
      3. Snippet 2) Note contact left company - #Note contact left company
  2. Pin the Note - this keeps the note at the top of the activity feed. 
      1. Hover over the note for the menu to appear.
      2. Click Pin.
  1. Other contact updates
    1. If the person has left the organization 
      1. In “company property” type “Inactive” if the person has left the organization.
      2. Actions drop down - choose “Opt out of email”
      3. Company link on right sidebar – “x” out of link to associated company if they are no longer employed there
    2. For all inactive account owners and users, add contact to list under “list memberships” (on the right sidebar)
      1. List name: Account Owner or User removed – Purge Fields (this action will purge the subscription properties in HubSpot and is necessary to keep subscriber lists clean.

Update Subdna

  1. Delete inactive user
