Onboarding - Adding new owners & users

 
When we have a new user or account owner we mark a property in HS so that they start the onboarding workflow.
Property name: Subscriber Stage
  • Onboarding - Account Owner
  • New User Onboarding
Required fields before marking Subscriber Stage:
  • Nickname (Automated from First Name)
  • Company Name (Automated from Associated Company)
  • Job Title (check LinkedIn if unknown)
    • If Job Title is unknown, it can be left blank
The manual step of selecting the Subscriber Stage will add them to an automated workflow - Onboarding Owner or Onboarding User. The workflow offers to schedule an onboarding call and includes steps so that the system can automatically see if they have opened their emails, logged in, scheduled and completed a call, etc. 
 
Goal: Make sure all new Account Owners and Users go through the onboarding workflow, whether they are brand new to the FTR account or moving from a user status to account owner status.
 
How: We use the subdna notices that say a new account or new account owner is created to trigger the step to go into HS manually to mark the “Subscriber Stage” which is under FTR Subscriptions section on the left side in HS. 
 
Steps: 
  1. Use Email from Subdna or Slack channel tells us that a new owner has been created. (see picture below)
  2. Open hs and find the contact, if there is not one in HS you will need to create a new contact. 
  3. Make sure that Nickname, Company Name, and Job Title are populated. Check LinkedIn if any of the information is missing.
  4. Under “Subscriber Stage” select either (see picture below)
    1. Onboarding - Account Owner
    2. New User Onboarding
  5. Once subscriber stage is selected, they are added to the workflow and will receive an email offering to schedule an onboarding call.
